Privacy notice

The short version. This website sets no cookies of its own and has no analytics. If you book a class through a business that uses Keep-open, that business is in charge of your booking information, and its own privacy notice applies. If you run a business that uses Keep-open, or you email us, this notice explains what we do with your information.
Who we are
Keep-open is a trading name of Unadmin Ltd, a company registered in England and Wales, company number 17365778. Our registered office is 168 Limekiln Lane, Birmingham, B14 4SP, United Kingdom. In this notice, "we", "us" and "our" mean Unadmin Ltd.
Keep-open is an online booking and payments system for businesses that run classes.

If you book a class through Keep-open
Businesses use Keep-open to run their booking pages. When you book with one of them, the business decides what information it needs and how it's used. It's the controller of your booking information.
We're its processor. We run the booking system for the business, and we only use your information on its instructions, and to keep the system working and secure.
The business's own privacy notice tells you what it collects, why, and how long it keeps it. Look for a link on its booking page or website, or ask the business for a copy.
To get a copy of your booking information, or to correct or delete it, contact the business. If you contact us instead, we'll pass your request on to the business and help it reply.
Payments are taken by Stripe, through the business's own Stripe account. Stripe also uses some payment information for its own purposes, such as preventing fraud. For that, Stripe is a separate controller, under Stripe's privacy notice.
What we collect and why
This part covers the information we're in charge of, as controller.
If you run a business that uses Keep-open
- What we collect
- Your name, email address and business details. The names and email addresses of staff you invite. Records of sign-ins to the admin, including the IP address and browser used. Details Stripe shares with us about your business's Stripe account, such as whether it can take payments. Your messages to us. Once we charge for Keep-open, your billing details and payment history. We get staff details from the business that invites them, and Stripe account details from Stripe.

- To set up your account and run the service for you, to keep it secure, to answer your questions, and to bill you.
- Lawful basis
- Contract: we need this information to provide the service the business has signed up for. Legitimate interests: giving the staff a business invites access to its admin, and keeping accounts and the system secure. Legal obligation: billing and tax records.
- Do you have to give it?
- Yes, to use Keep-open. Without it we can't set up or run your account.
If you email us
- What we collect
- Your email address, your name if you give it, and what you write.
- Why
- To reply to you, and to keep a record of our conversation.
- Lawful basis
- Legitimate interests: answering the people who contact us. If you're asking about using Keep-open, it can also be steps you've asked us to take before entering into a contract.
- Do you have to give it?
- No. But without an email address we can't reply.
If you visit this website
- What we collect
- Your IP address, details of your browser, the page you asked for and when.
- Why
- To deliver the site to you and protect it from attacks. Cloudflare does this for us. We don't use analytics or tracking, and we don't keep our own log of visits.
- Lawful basis
- Legitimate interests: running a website that works and is secure.
- Do you have to give it?
- Your browser sends these details to load any website. Without them, the site can't reach you.
Cookies
This website doesn't set any cookies of its own. It has no analytics, advertising or tracking.
Cloudflare, which delivers and protects the site, may set a strictly necessary security cookie to help tell people apart from automated traffic. It's needed to keep the site secure, so it doesn't need your consent, and it isn't used to track you.
Who we share it with
We use these service providers to run Keep-open:
- OVHcloud hosts the Keep-open booking system on servers in the UK.
- Cloudflare runs our network and domain names, protects this website and the booking system from attacks, serves this website, and forwards email sent to keepopen.co.uk addresses to our inbox.
- Google provides our email inbox (Gmail), where emails to hello@keepopen.co.uk arrive.
- Postmark delivers the emails the booking system sends, such as booking confirmations and sign-in links.
- Backblaze stores encrypted backups of the booking system's database in its EU Central region, so the system can be restored after a failure.
Stripe is different. Each business has its own Stripe account and its own agreement with Stripe. We connect the booking system to that account so it can take payments and make refunds.
We don't sell your information. We only share it with anyone else if the law requires us to.
Information sent outside the UK
The booking system's servers are in the UK. Some of our providers are based outside the UK, or handle information outside it. When that happens, UK law requires a safeguard. These are the ones that apply:
- Backblaze keeps our backups in the EU. UK law recognises the EU as protecting personal information adequately. Backblaze is a US company, and it's certified under the UK Extension to the EU-US Data Privacy Framework (the "UK-US data bridge").
- Postmark processes email in the United States. It's part of ActiveCampaign, which is certified under the UK-US data bridge. Its data processing terms also include standard contractual clauses.
- Cloudflare runs a global network, so your visit may be handled outside the UK. Its data processing terms use the EU standard contractual clauses with the UK's International Data Transfer Addendum.
- Google may store email outside the UK. Google LLC is certified under the UK-US data bridge.
How long we keep it
- Business account details: while you use Keep-open, then for up to 6 years after you stop, in case of questions or legal claims about the service.
- Billing records: 6 years from the end of the financial year they relate to, because UK tax law requires it.
- Emails to us: up to 2 years after our last message. If you become a customer, we keep them with your account details.
- Website visits: we keep no records ourselves. Cloudflare keeps its own security records under its retention rules.
- Booking information: for as long as the business that took the booking tells us to. Its privacy notice explains how long.
- Backups: each backup of the booking system is kept for 14 days, then deleted.
Your rights
You have the right to:
- ask for a copy of your information;
- ask us to correct it if it's wrong;
- ask us to delete it;
- ask us to limit how we use it;
- object to us using it where we rely on legitimate interests;
- ask for information you gave us in a format you can take elsewhere.
Some of these rights depend on why we hold the information. We don't make decisions about you by purely automated means.
To use any of these rights, email hello@keepopen.co.uk. It's free, and we'll reply within one month. For booking information, contact the business you booked with.
How to complain
If you're unhappy with how we've handled your information, please tell us first, and we'll try to put it right.
You can also complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk/make-a-complaint or by calling 0303 123 1113.

When we change this notice, we'll update this page and the date at the top.
